Administrative Assistant- Property

Reports To: General Manager 


Provides administrative and tenant-service support for day-to-day property operations. Serves as a primary point of contact for tenants, guests, vendors, and internal departments, with a focus on lease administration support, work order dispatch and closeout, and guest and tenant relations.


Qualifications

Education: High School Diploma or GED required


Experience and Skills

• 1-3 years administrative experience in property management, real estate, facilities, or a customer-facing office role preferred

• Proficiency with Microsoft Office (Outlook, Word, Excel) and general office technology (copiers, scanners, PDF tools)

• Strong phone and written communication skills, including professional email, correspondence, and document formatting

• Familiarity with lease administration support, including maintaining lease files, tracking critical dates, and basic lease abstracting preferred

• Experience dispatching, tracking, and closing work orders in a work order system (or similar tracking process) preferred

• Ability to maintain confidentiality and handle sensitive information with professionalism

• Bilingual is a plus


Physical and Work Requirements

• Ability to lift and carry up to 25 pounds (office files, supply boxes, and small equipment)

• Ability to sit and work at a computer for extended periods; ability to periodically walk the property for coordination and tenant support

• Primary center hours are 8:30am – 4:30pm M-F 

Ability to work weekends, modified days through 9pm during holidays and as needed for coverage of special events

 

Responsibilities

• Serve as a front-line contact for tenants, vendors, and guest inquiries by phone, email, and in person

• Provide guest and tenant relations support by routing requests to the appropriate team members and tracking resolution

• Dispatch tenant work orders to maintenance, housekeeping, security, or vendors; monitor status, update requesters, and confirm closeout documentation

• Maintain the work order intake channel (email, portal, phone) and ensure requests are captured accurately with priority, location, and scope

• Maintain organized electronic and paper lease files, amendments, certificates of insurance, and tenant contact lists

• Track key dates (renewals, expirations, notice dates) and support lease abstraction by capturing key business terms into logs or property systems

• Support move-in and move-out administrative steps, including checklists, access coordination, and distribution of building rules and contacts

• Coordinate vendor access and scheduling with tenants, security, and mall management as needed for on-site work

• Prepare routine communications, notices, letters, and memos; maintain templates and distribution lists

• Maintain office filing systems (digital and paper), meeting notes, and routine reporting as assigned

• Support purchasing and invoice processing as assigned, including collecting vendor paperwork, routing approvals, and filing

• Review and categorize invoices against the operating budget and company chart of accounts; verify coding and supporting documentation before routing for approval

• Assist with tenant communications such as service interruptions, planned work notifications, and general announcements

• Other duties as assigned
